I was the Bidding and On-Set Production Coordinator for WW’s Winter 2021 Campaign. This was a big project and fully integrated campaign, with Broadcast, OLV, Social, Digital, and Stills Photography deliverables. The campaign was shot over several days in several locations (Long Island, Seattle, Portland, and Indianapolis) with spots narrated by WW Celebrity Ambassadors Oprah Winfrey and Ciara as well as showcasing real WW members. The spots also promote their new and most holistic myWW+ weight loss digital program.
I had a blast working on this job, and this was my first experience on a COVID Safe Set. Additionally, during my staff tenure with Honor Society, I became certified as a COVID Compliance Manager, and actively stay abreast of the latest safety practices for Commercial Production implemented by the AICP.
For the Long Island portion of the project, in addition to supporting the initial bidding process, I worked as the On-Set Coordinator in prelight and for all 3 shoot days. For all other locations, I managed the COVID screening process in Pre-Production, coordinated setup for a Client/Agency NYC Virtual Village for the Portland shoot, and organized all final wrap books.

RESPONSIBILITIES
Responsibilities included:
Collating production and post-production notes on creative calls
Executing client invoicing and creating job number
Maintaining databases of treatment writers and visual designers
Working alongside Production Supervisor to manage all financial aspects of shoot such as creating POs, tracking actuals, creating Client overage memos, processing invoices, and reconciling petty cash logs
Collect and process crew timecards and start paperwork
Organize location and talent contracts, distribute production insurance COIs, and order equipment and catering
Placing soundstages on hold for Agency/Client Virtual Video Village
Booking agency travel and arranging crew and talent transportation
Distributing call sheets, shoot schedules, and stills/video shot lists
Art department support through tracking expenses, auditing POs, and organizing prop and artwork releases
Wardrobe department support through coordinating wardrobe shipments and tracking expenses
Delegating responsibilities to Production Assistants on set to perform various errands, equipment pickups, and catering setup
Provide client services and proactively solve problems on set to satisfy client, director, and crew needs
Organizing and assessing final wrap books
